How quickly will I hear back?+
Same business day for messages received before 3 p.m. ET, next business day otherwise. We don’t use a third-party answering service — your message lands in the inbox of a real SMAART team member, and the first reply comes from whoever’s best positioned to answer (often the senior partner who owns that service area). Tax-season messages (Jan-Apr) may take an extra day during the busiest weeks; we always acknowledge receipt within four hours.
Do you only work with Florida businesses?+
No. Our office is in Fort Lauderdale and most of our clients are Florida-based, but we serve clients in every state — bookkeeping, tax, and CFO services are portal-and-video by default, with on-site visits when the engagement warrants it. We’re licensed and active in multi-state SALT, federal tax, and US Tax Court matters nationwide. If you have a Florida entity but live elsewhere, that’s a routine engagement for us.
Can I get a free consultation before committing?+
Yes — a 15-30 minute scoping call is always free and always involves a senior staff member, not a sales rep. You’ll walk away knowing whether we’re a fit, roughly what the engagement would cost, and which specific service line maps to your situation. No pressure, no follow-up sequence — if we don’t hear back we assume you went a different direction and move on.
How is pricing structured?+
Recurring services (bookkeeping, payroll, fractional CFO, monthly accounting) are flat-fee monthly so you can budget cleanly. One-off projects (tax preparation, IRS defense, M&A work, audit response) are fixed-quote — you see the price in writing before any work starts. Hourly billing is reserved for genuinely unpredictable scope (complex IRS examinations, multi-year cleanup) and we cap and confirm hours weekly. Most engagements are scoped during the free consultation.
What if I’m switching from another accountant?+
Easy and common. We handle the transition from your previous CPA, bookkeeper, or full-service firm end-to-end — including signing IRS Form 8821 (information authorization) so we can pull historical filings, syncing with your QuickBooks / Xero / NetSuite environment, and doing a clean-up pass on any open items the prior firm left behind. There’s no awkward conversation to have on your end; once we’re engaged, the previous firm gets a polite handoff letter from us.
